Privacy Policy

DG Club HQ (“we”, “us”) is a disc-golf club management platform operated at dgclubhq.com. This page explains what information we collect, what we do with it, and the choices you have. It applies to all use of the website and any related services.

What we collect

• Account info — name, email address, and (optionally) phone number when you create an account or are added to a club by an admin.
• Club activity — events you check in to, scores uploaded by your club, tag-leaderboard position, voucher balance, payments recorded by your TD, and similar club-administration data.
• Authentication data — password hashes (never stored in plain text), session cookies, and login timestamps used to keep you signed in and to protect your account.
• Basic request data — IP address, browser/user-agent, and pages visited — recorded in standard server logs for security monitoring, debugging, and abuse prevention.

How we use it

We use the information you provide only to operate the app and communicate app-related information to you:

• Show you your stats, tag position, voucher balance, and event history.
• Let your club admin run events, record payouts, and manage memberships.
• Send transactional and event-related notifications — e.g. day-before reminders for TDs, post-event summaries, payment requests, password resets, and account-claim emails. Channels are email and (optionally) SMS.
• Keep the service secure, prevent abuse, and recover from errors.

We do not use your information for advertising, profiling for third parties, or marketing unrelated to your club.

Sharing with third parties

We do not sell, rent, or share your personal information with third-party advertisers, brokers, or marketers.

We use a small number of operational service providers strictly to deliver the app (e.g. email delivery, SMS delivery, hosting). These providers process information on our behalf only as needed to perform their function and may not use it for any other purpose.

Your club's admins and TDs can see club-related information about you (check-ins, scores, payments, vouchers, tag position) because that is required to run the league. That information stays within your club.

How we protect your data

• All traffic is encrypted in transit (HTTPS).
• Passwords are hashed using industry-standard algorithms; we never see your password.
• Access to administrative tooling is restricted to club admins and platform operators.
• We follow standard security practices including CSRF protection, strict Content Security Policy, and least-privilege database access.

Your choices

• Update your info — edit your name, email, phone, and payment handles any time on your profile page.
• Notification preferences — opt in or out of individual email/SMS comms on your profile. Every non-transactional email also includes a one-click unsubscribe link.
• Account deletion — you can delete your account yourself at Delete Account. Your login is closed immediately; your personal information is removed from our systems within 30 days. Historical scores and tournament results tied to your club's leaderboard are retained under your existing name — this preserves the validity of past seasons for other members.

Cookies

We use cookies only for things the app needs to work: keeping you signed in, cross-site request forgery protection, and remembering your theme/preference choices. We do not use cookies for third-party advertising or cross-site tracking.

Children

DG Club HQ is intended for use by disc-golf clubs and their members. The service is not directed at children under 13 and we do not knowingly collect personal information from anyone under 13.

Changes to this policy

If we make material changes to this policy we'll update the date at the top and, where appropriate, notify users via email. Continuing to use the service after a change means you accept the updated policy.
